Mandatory Volunteer Application Process and Training Program
We are pleased to launch our new volunteer application process and training program for the 2024–2025 academic year. Our enhanced mandatory application and training process reflects our ongoing commitment to student safety and family engagement at Gilman.
We encourage everyone who thinks they may want to volunteer at Gilman to complete the application at the beginning of the school year. All volunteers, whether short-term, long-term, or those who volunteer for a one-time project or event, must complete the application process before volunteering.

Volunteer Application Process
Follow these steps to complete the volunteer application process:
- Begin with the Volunteer Application Form, which includes watching the Safety Presentation video and reading the Volunteer Code of Conduct. (Please note the Volunteer Application Form MUST be completed BEFORE the next step.)
- Complete the Gilman background check, either on campus or at Absolute Investigative Services.
- Gilman will cover the cost of the background check whether you complete fingerprinting at School or one of the off-campus locations.
- Please note that results may take up to two weeks.
- Once approved, you will receive your volunteer badge, and you will be all set for the school year! Please note you will not need to complete the background check each year.
Who is a Volunteer?
Gilman volunteers are folks who give their time and talent to our community. Our volunteers include Parents Association members, affinity group members, library helpers, team parents or other athletic-related volunteers, and field trip chaperones, just to name a few. This also includes volunteers who help out for a one-time event or classroom activity.

Fall 2024 On-Campus Fingerprinting Dates
Please sign up for an on-campus sessions, held in the McCarthy Room (second floor) in the Finney Athletic Center. They are scheduled for:
- Wednesday, September 4 (9:30–11:30 a.m.)
- Wednesday, September 11 (9:30–11:30 a.m.)
- Wednesday, September 18 (9:30–11:30 a.m.)
- Wednesday, September 25 (9:30–11:30 a.m.)
If you are unable to join us on one of those days, additional dates will be scheduled on campus. Email communications regarding additional dates will be sent to parents and posted here on this page. You will then have the opportunity to make an individual appointment on-site with the company if needed.
